Compensation: $40,000-$45,000 annually (commensurate with experience)

JOB OVERVIEW
The Carnegie seeks a highly organized and proactive Program Coordinator to support the administration of a regranting initiative alongside the organization’s gallery programs and public-facing activities.
This is a full-time position for an early-career arts professional who can manage complex timelines, coordinate across multiple departments, and serve as a key point of contact for artists and community partners. The role combines program administration, public engagement, and organizational support, and is integral to the successful delivery of artist opportunities and institutional programming.
KEY RESPONSIBILITIES
Regranting Program Administration
- Coordinate all phases of a grantmaking cycle, including open calls, application management, review processes, and award distribution
- Manage application platforms and maintain accurate records, timelines, and program data
- Serve as primary point of contact for applicants, responding to inquiries and guiding participants through the process
- Serve as primary point of contact for selection committee
- Coordinate midpoint progress reports for all ongoing projects
- Prepare and submit program reports and required documentation
Communications & Public Programs
- Maintain and update program-related web content and materials
- Coordinate and execute public-facing events such as information sessions, workshops, and presentations
- Support marketing and outreach efforts in collaboration with staff and external partners
Jury & Selection Process Coordination
- Organize and support review panels and selection processes
- Prepare materials for panelists and track scoring and evaluation outcomes
- Coordinate meetings and ensure smooth facilitation of adjudication processes
Gallery & Organizational Support
- Collaborate with the Exhibitions Director to plan and implement programs, including exhibitions, performances, gallery talks, readings, and community events
- Provide support for gallery programs, events, and administrative operations as needed
- Contribute to cross-departmental initiatives and organizational priorities
Community Engagement
- Represent The Carnegie within the regional arts community
- Build and maintain relationships with artists, collaborators, and partner organizations
QUALIFICATIONS
- 1–3 years of experience in arts administration, nonprofit programming, or related field
- Strong organizational, administrative, and project management skills
- Excellent written and verbal communication skills
- Ability to manage multiple timelines and priorities with attention to detail
- Interest in contemporary art and artist-centered practices
Preferred:
- Experience with grantmaking or application platforms (e.g. Submittable)
- Familiarity with regional arts communities
- Experience coordinating public programs or events
SCHEDULE & CONDITIONS
- Full-time position
- On-site in Covington, KY with regular regional travel
- Some flexibility for remote work
- Occasional evenings and weekends required
COMPENSATION
- $40,000–$45,000 annually, commensurate with experience
